OPERATIONS LEAD

VaVa Virtual Assistants is a boutique support agency based in Atlanta, GA with team members working remotely across the country. Our highly skilled assistants provide businesses and executives with administrative support, digital marketing expertise, graphic design, and more. Our team serves to support their endeavors.

Role: OPERATIONS LEAD

The focus of this role is to ensure the effectiveness and efficiency of VaVa’s day-to-day activities, making sure the internal team is performing its duties to its entirety and to ensure services are being performed for clients at the expected quality, as well as strategizing and implementing new processes to streamline operations for the organization as a whole.

Responsibilities

  • Supervise the direction of day-to-day activities and manage the team’s overall work, ensuring all operational processes are followed daily as a team internally and for service quality assurance
  • Serve as direct supervisor for 4-8 full and part-time team members
  • Monitor employee and team performance, tracking KPIs and making sure the team completes their tasks on schedule and meets their goals
  • Be a consultative resource to employee inquiries, feedback, and issues as needed
  • Ensuring seamless processes for daily operations, making sure the teams work efficiently together within and across departments, and strategizing system and process improvements as needed
  • Identify internal staffing requirements, hire and train employees making sure documentation is completed and required and they are set up in systems and properly trained
  • Oversee the hiring and training of external team members, making sure staffing requirements are being proactively identified and filled
  • Lead the company’s program to ensure our culture and values are practiced throughout the organization at all times
  • Work with the Core Team to design and develop programs, communications, events, workshops, etc. for leaders, managers, and team members that creatively and authentically reinforce our unique values and culture
  • Understand and utilize company budgeting in the operational department
  • Provide general HR knowledge and support, ensuring legal compliance by monitoring and implementing applicable human resource federal and state requirements and taking action in any areas for improvement
  • Maintains historical human resource records; keeping past and current record

QUALIFICATIONS

  • Prefer the Atlanta, GA (or surrounding) area, but other locations will be considered
  • 2+ years of experience in operations management, business administration or a related field
  • 2+ years of organizational leadership
  • 2+ years working in a virtual environment
  • HR education and training a plus
  • Experience with technology such as: G-Suite, Asana, Basecamp, Airtable, Slack, Dropbox, Microsoft Suite, Zoom, PowerPoint,
  • Canva, Teachable, HubSpot, and a comfort level to learn more
  • Excellent communication skills, both verbal and written
  • A demonstrated commitment to high professional ethical standards and a diverse workplace
  • Open to direction and collaborative work style and commitment to get the job done
  • Ability to look at situations from several points of view
